Our client is a global multi-strategy hedge fund manager founded in 2002 with its headquarters in Hong Kong. They invest globally, with a focus on Asia, including Japan. This is an exciting opportunity to work in a growing and progressive company and to support the business of the firm.
The are seeking a highly skilled and proactive Executive Assistant to provide EA/PA support to the firm’s General Counsel/Co-COO & CFO & Co-COO, both of whom are based in Hong Kong. The ideal candidate will possess exceptional organizational skills, a keen attention to detail and the ability to prioritize effectively as they will play a critical role in ensuring the Co-COOs’ day-to-day operational efficiency. Dotted line reporting to the Firm’s Hong Kong Office Manager (who manages all of the Firm’s admin team members on a global basis).

About the Role
Based in Central, the ideal candidate will speak fluent or near native level English and possess exceptional organizational skills, a keen attention to detail and the ability to prioritize effectively as they will play a critical role in ensuring day-to-day operational efficiency.
Key Responsibilities

Provide a full spectrum of high quality, business and personal secretarial support to the Co-COO’s. (90% COO, 10% co-COO)

Manage calendars, including scheduling meetings, appointments, and travel arrangements

Dinner and social engagement scheduling

Travel management: managing complex itineraries, booking flights, transfers and accommodation, making reservations, visa application processing when necessary, etc.

Assist with personal tasks including but not limited to home maintenance, insurance policies, family travel planning, personal errands and tasks, doctors’ appointments, and domestic helper admin

Facilitate communications between the Co-COOs and other team members

Expense management, monthly expense and claims reporting

Maintain an organized filing system for confidential documents and information

Be the Co-COOs’ go-to for any and all matters

Greeting the Co-COOs’ visitors

Ad-hoc tasks as requested including temporary or ad hoc cover for the Firm’s reception or Office Manager; assist the Office Manager with other administrative tasks as assigned

About You

Bachelors degree and/or with secretarial training
-
5 Years of experience
-
Experience supporting high level Executives in a fast-paced corporate environment

Highly resourceful and adaptive to change with strong prioritization abilities
-
Detail-oriented, good memory and common sense
-
Takes ownership of tasks, is tenacious, and works proactively
-
Near native English and Cantonese speaker; Japanese would be a big plus, as would Mandarin
