Executive Assistant to Founder/CIO

Our Client
 

Our client is a global hedge fund manager with its headquarters in Hong Kong and offices elsewhere. This is an exciting opportunity to work in a growing and progressive company and to support the investment activities of the Founder.
 

We are seeking a highly skilled and proactive Executive Assistant to provide 1:1 personal assistant and secretarial support to their Founder and CIO. 

About the Role
 

Based in Central, the ideal candidate will possess exceptional organizational skills, a keen attention to detail and the ability to prioritize effectively as they will play a critical role in ensuring the Founder's day-to-day operational efficiency.  The Founder maintains several residences globally and travels very frequently between them.
 

Key Responsibilities
 

  • Provide a full spectrum of high quality, business and personal secretarial support to the Founder (1:1)

  • Own the Founder's calendar, including heavy scheduling meetings, appointments, and extensive travel arrangements

  • Travel management: managing complex itineraries, booking flights, transfers and accommodation, making reservations, visa application processing when necessary

  • Assist with personal tasks including but not limited to home maintenance, insurance policies, family travel planning

  • Facilitate communications between the Founder and investment, business and global support personnel

  • Expense management, monthly expense and claims reporting

  • Maintain an organized filing system for confidential documents and information

  • Be the Founder's go-to for any and all matters

  • Ad-hoc tasks as requested

About You
 

  • Bachelors degree and/or with secretarial training

  • 5-8+ years of experience

  • Experience with supporting high level Executives in a fast-paced corporate environment

  • Highly resourceful and adaptive to change with strong prioritization abilities

  • Detail-oriented, good memory and common sense

  • Takes ownership of tasks, is tenacious, and works proactively

  • Fluent/near native English (Japanese would be a plus)

  • Tech skills/spreadsheet skills are a plus
