Corporate Access/Team Assistant to Investment Team

Our Client
Our Client is a well-established hedge fund managing USD 3B AUM. They are seeking a highly-skilled and experienced Team Assistant to support their investment team while ensuring seamless administration of the office and team.
About the Role
You will play a central role in supporting day-to-day operations, communication flow, and organizational efficiency.This is not a tasktaker role. We are looking for someone who thinks several stepsahead, takes ownership, and brings structure to a dynamic environment.
Key Responsibilities
Corporate Access Coordination:

Manage the team's full conference and corporate-access pipeline: track key global and regional conferences, NDRs and sector events; submit interest; secure and optimise one-on-one and group meetings

Build and maintain strong working relationships with sales and corporate-access teams at key brokers; understand their priorities and constraints and work with them to secure and upgrade access for the team
Administrative Support:

Own complex calendars for multiple investment team members, actively prioritising meetings, research time and travel based on investment urgency and value to the team

Coordinate a high volume of meetings with company management, brokers and other counterparties

Anticipate needs and prepare materials, briefings, and follow-ups ahead of meetings

Coordinate closely with other Executive Assistants across the firm, including the Portfolio Manager's EA, to align calendars, avoid conflicts and ensure a consistent, high-quality experience for external counterparts

Arrange detailed regional and global travel itineraries around conferences and meetings, including backups and contingency plans for last-minute changes

Process expenses, travel bookings and vendor invoices accurately and on time; maintain high standards of organisation and record-keeping

Coordinate room bookings, video-conference links, catering and visitor logistics for internal and external meetings, ensuring seamless execution on the day

Prepare summaries, meeting notes, and action lists

Maintain confidentiality and handle sensitive information with discretion
About You
-
5+ years’ experience as an Executive Assistant, Team Assistant, Corporate Access or similar role in hedge funds, asset management, investment banking or other high‑intensity financial institutions.

Proven ability to support senior executives with complex schedules and high information flow

Exceptional written and verbal communication skills

Strong organizational and project‑management capabilities

High proficiency with productivity tools (Outlook, Excel, Teams, etc.)

Ability to work independently, prioritize effectively, and handle multiple demands

High integrity and commitment to confidentiality

Fluency in English required; Mandarin or Cantonese language skills highly preferred.
