Office Manager & Executive Assistant


Our Client

Our client is a leading and prestigious global investment company with offices in Hong Kong, Singapore, London, Jersey and Cayman Islands. They have been in business since 2014 after successfully spinning off from a major New York-based hedge fund.

They are currently looking for an  efficient, energetic and experienced Office Manager and Executive Assistant to support their Singapore team and office.

About the Role

Located in the CBD of Singapore, this role will work alongside a global administrative team while serving as the main point of contact for all Singapore's office management matters and be responsible for delivering operational excellence for the office and their team.

Job Responsibilities

  • Responsible for overall office administration and management 

  • Handle tenancy agreements, maintain communications with building management, repairs, contractors and other service providers

  • Provide excellent front of house service to visitors, ensuring they are greeted pleasantly and professionally

  • Schedule meetings, coordinate all meeting room allocations and ensure meetings and conference run smoothly

  • Provide full spectrum of administrative support to the team and team manager

  • Assist in organizing internal and external activities

  • Handle daily job record, data entry and manage filing system

  • Coordinate all mails and courier services and cover team members if need be

  • Assisting with people administration and compliance, particularly for onboarding, offboarding, immigration / corporate pass as well as relocation & travel arrangements

  • Perform ad-hoc duties as required to operations and business needs

  • Various ad-hoc requests for senior staff in Singapore (eg travel request, subscription request, commercial service contract)

About You

  • Minimum 3-5 years working experience in office management, administration or related roles

  • Self-motivated, responsible, positive working attitude and able to work under pressure

  • Excellent interpersonal, problem solving and communication skills

  • Ability to handle multiple tasks in an organized manner

  • Good learning ability and team cooperation

  • Good PC skills in MS Word, Excel, PowerPoint

  • Native/fluent English, Chinese a bonus

  • Able to working in Singapore without sponsorship
