Assistant Office Manager/Administrator

Our Client
 

Our client is a well-established investment and advisory firm founded 10 years ago. 

They are currently looking for an experienced and well-rounded Office Manager to join their friendly and dynamic team.

About the Role
 

Located in Central and directly reporting to the COO, the role will be working alongside the administrative and operations team. The successful candidate shall possess a high level of organization, integrity, be an expert communicator and team player in providing administrative excellence to the office and wider team.

Job Responsibilities
 

  • Responsible for assisting in the smooth running of daily office operations including a full scale of office management, building management and tenancy agreements, office assets and supplies and liaising with external vendors and service providers

  • Upkeep of the office and pantry to ensure that the office environment is safe, clean and functional

  • Provide secretarial support to senior personnel when necessary

  • Implement and uphold operational systems and procedures for maximum organization, efficiency and productivity for the team

  • Staying abreast yearly subscriptions and renewals whilst maintaining an organized filing system for confidential documents

  • Ensuring that the company database is accurately updated at all times

  • Providing onboarding and logistical support to new joiners

  • Manage meeting room booking flow whilst greeting visitors and guests in a polite and professional manner

  • Act as a bridge of communication with external service providers account payables and other finance matters including light bookkeeping, expense reporting and monthly budgeting

  • Team administrative support including travel support and visa application processing

  • Build good relationships with the administrative and operational team

  • Ad-hoc tasks as and when necessary

About You
 

  • A stable working history with a minimum solid 8-10 years of experience as an office manager, administration and/or other relevant roles

  • University degree holder (bachelor’s or above) preferred but not essential

  • Experience in MNC environment strongly preferred

  • Fluent English and Chinese essential

  • Prior bookkeeping and accounting experience or knowledge helpful

  • Solution-oriented, proactive, resourceful and a cheerful team player

  • A strong eye for detail and ability to multi-task

  • Able to take initiative and work independently with good judgement

  • A collaborative builder’s mentality and willing to help when and where it’s needed

  • Up to 40K (13 months)
