Our Client
Our client is a leading and prestigious global investment company with offices in Hong Kong, Singapore, London, Jersey and Cayman Islands. They have been in business since 2014 after successfully spinning off from a major New York-based hedge fund.

They are currently looking for an organized, efficient and energetic Office Manager/People Administrator to support their Asia regional offices.
About the Role
Located in Hong Kong, this role will be responsible for daily office operations and working alongside a global administrative team to assist with people administration in the Asia time zone.
Job Responsibilities:
Office Management:

Provide full spectrum of administrative support to the team

Schedule meetings, coordinate all meetings room allocation and ensure meetings and conference run smoothly

Handle staff enquiries eg travel requests, subscription requests, commercial service contract

Assist in organizing internal and external activities

Handle daily job record, data entry and manage filing system

Coordinate all mail and courier services and cover team members if need be

Perform ad hoc duties as required to operations and business needs
People Administration:
-
Onboarding, offboarding, and transfer process
-
Organise new joiner calls, send new starter forms to new joiner and to HR broker to set up payroll

Liaise with benefits broker to set up benefits for new joiner/terminate benefits for leaver (medical, dental, life insurance, pension)

Assist with relocation/travel

For Hong Kong leavers/relocations: occasionally liaise with the Internal Revenue Department regarding tax clearance paperwork

Working with external visa consultants to apply, renew and cancel visas for new joiners, transfers, and departures

Help with compliance with regional employment requirements

Adding and maintaining employee information in our HR systems

Liaise with relevant authorities for visa and employment inquiries, and coordinating with compliance for relevant regulatory reporting and submissions

Coordinate letter requests from employees (rental reimbursement, employment verification, references, etc.)
